The First Step – Website Questionnaire

Before we can schedule the kickoff meeting, please complete the Website Questionnaire. This step is essential to ensure we fully understand your business, goals, and design preferences. The questionnaire includes questions about:

  • Your business’s mission and target audience.
  • Pages and features you want on your website.
  • Design and Brand preferences, such as colors, styles, and inspirational examples.

If you need assistance completing the questionnaire, I’m happy to help! Don’t let it delay the process—we can always add more details later as we move forward. Once the questionnaire is submitted, I will reach out to schedule your kickoff meeting.


Kickoff Meeting and Bi-Weekly Check-Ins

To ensure we stay aligned throughout the project, we’ll meet regularly:

  • Kickoff Meeting: A 30-minute video call to discuss goals, timelines, and deliverables. This meeting sets the foundation for your website build.
  • Bi-Weekly Check-Ins: During the build phase, we’ll meet for 30 minutes every other week to review progress, address feedback, and plan the next steps.

These meetings are essential for keeping your project on track and ensuring your vision comes to life.


Our Agile Build Process

We use an agile approach to create your website efficiently and flexibly:

  1. Phase-Based Development: The project is divided into manageable phases, with reviews at each step.
  2. Iterative Feedback: You’ll provide feedback throughout the process, so we can make adjustments along the way.
  3. Transparency: You’ll always know what we’re working on and when to expect updates.

This method ensures a smooth, collaborative experience from start to finish.


Approval of Content and Imagery

You have full approval of all content and imagery added to your website.

  • If you prefer, you can defer these decisions to us, and we’ll choose materials that align with your brand and goals.

Your input ensures the final product meets your expectations and reflects your vision.


Making Change Requests

We want your website to be just right. Here’s how to request changes:

Preferred Method: Email all requests to brianhoke@hokewebsolutions.com. Email helps us track and prioritize updates effectively.

Include Details: To ensure your requests are processed accurately and efficiently:

  • Be Specific: Clearly identify the page, section, or content involved in the change.
  • Provide “Before and After” Details: Include the existing text or content (“Before”) and specify the updated content you want to replace it with (“After”). This makes the request clear and actionable.

Example Request:

  • Page/Section: About Us Page > Second Paragraph
  • Before: “We are a family-owned business offering top-notch services.”
  • After: “As a family-owned business, we are dedicated to providing exceptional services tailored to your needs.”

Response Time: Most changes are addressed within 48 hours. For larger requests, I will provide an estimated timeline.

After your website is live, the process remains the same if you are enrolled in the Guardian Elite Maintenance plan. This plan includes 2 hours of client-requested changes each month. If a request exceeds the included time, additional hours will be billed. However, I will always communicate the estimated time and cost before proceeding with any changes. The Guardian Maintenance plan requested updates are all billed per hour.


Google Drive Access

Once the project starts, I will set up a shared Google Drive folder where you can upload and access project files, including:

  • Logos and branding materials.
  • Written content for the website.
  • High-resolution images or other media.

This shared space keeps everything organized and accessible.
